By accessing and using the Group Finance Management System ("the Platform"), you acknowledge that you have read, understood, and agree to be bound by these Terms and Conditions. If you do not agree to these terms, you must not use the Platform.
These terms apply to all users of the Platform, including group administrators, members, and visitors.
2. Definitions
- "Platform" refers to the Group Finance Management System, including all web pages, features, and services.
- "Group Administrator" refers to the person who registers and manages a group on the Platform.
- "Member" refers to any individual added to a group by the Group Administrator.
- "User" collectively refers to Group Administrators and Members.
- "We", "Us", "Our" refers to the Platform operators and developers (Rapid Solutions LTD).
- "Data" refers to all information entered, stored, or generated within the Platform.
3. User Accounts & Responsibilities
When creating an account, you agree to:
- Provide accurate, current, and complete information during registration.
- Maintain the security and confidentiality of your login credentials.
- Accept responsibility for all activities that occur under your account.
- Notify us immediately of any unauthorized use of your account.
- Not share your login credentials with third parties.
Group Administrators are additionally responsible for:
- Managing member access and permissions within their group.
- Ensuring that member data entered into the Platform is accurate.
- Maintaining regular backups of their group's data.
- Complying with applicable data protection laws when handling member information.
4. Data & Privacy
We take your privacy seriously. The following outlines how we handle your data:
- Data Collection: We collect personal information (names, emails, phone numbers) and financial data (contributions, loans, payments) as necessary to provide our services.
- Data Storage: Your data is stored on secure servers. However, no method of electronic storage is 100% secure.
- Data Access: Group data is only accessible to authorized users (administrators and members) of that specific group.
- Data Sharing: We do not sell, trade, or share your personal data with third parties except as required by law or to provide our services (e.g., SMS notifications via third-party providers).
- Cookies & Sessions: The Platform uses session cookies to maintain your login state. These are essential for the Platform to function.
5. Backup & Data Loss
IMPORTANT - DATA LOSS DISCLAIMER:
While we strive to maintain the integrity and availability of the Platform, we do not guarantee against data loss. Data may be lost due to server failures, software errors, hardware malfunctions, cyberattacks, natural disasters, or other unforeseen circumstances.
Your responsibilities regarding data backup:
- Regular Backups: Group Administrators are strongly encouraged to perform regular backups of their group data using the built-in backup feature (Admin → Backup & Logs → Download .sql).
- Backup Frequency: We recommend backing up your data at least once a week, or after making significant changes to your records.
- Backup Storage: Store backup files in a secure location separate from the Platform (e.g., an external hard drive, cloud storage, or another secure server).
- Data Recovery: In the event of data loss, we will make reasonable efforts to assist with recovery, but we cannot guarantee that lost data can be restored.
Recommendation: Set a recurring reminder to download a database backup at least once per week. The Platform's backup feature provides a complete SQL export that can be used to restore your data if needed.
6. Financial Data Disclaimer
The Platform provides tools for managing financial records including contributions, loans, and expenses. Please note:
- The Platform is a record-keeping tool, not a licensed financial institution or advisory service.
- All financial calculations (interest, balances, totals) are based on the data entered by users and the configured settings. We are not responsible for errors resulting from incorrect data entry or misconfigured settings.
- Group Administrators should regularly verify financial records against external documentation (receipts, bank statements, etc.).
- The Platform does not provide financial, legal, or tax advice. Users should consult qualified professionals for such matters.
- SMS and email notifications regarding financial transactions are sent based on system data and should not be treated as legal proof of payment or obligation.
7. Acceptable Use
You agree not to use the Platform to:
- Engage in any unlawful or fraudulent activity.
- Enter false or misleading information.
- Attempt to gain unauthorized access to other groups' data or the Platform's infrastructure.
- Distribute malware, viruses, or other harmful content.
- Interfere with the Platform's operation or other users' access.
- Use the Platform for money laundering, terrorist financing, or other illegal financial activities.
- Harvest or collect personal data of other users without their consent.
8. Intellectual Property
All content, design, graphics, and software of the Platform are the intellectual property of Rapid Solutions LTD and are protected by applicable copyright and trademark laws. You may not:
- Copy, modify, or distribute the Platform's source code without authorization.
- Use the Platform's branding, logos, or content for commercial purposes.
- Reverse-engineer or decompile any part of the Platform.
Data entered by users remains the property of the respective group and its members.
9. Limitation of Liability
Please read this section carefully.
To the maximum extent permitted by applicable law:
- The Platform is provided "as is" and "as available" without warranties of any kind, whether express or implied.
- We do not warrant that the Platform will be uninterrupted, error-free, or free of viruses or other harmful components.
- We shall not be liable for any direct, indirect, incidental, special, consequential, or punitive damages arising from your use of or inability to use the Platform.
- This includes, but is not limited to, loss of data, loss of profits, business interruption, or financial losses resulting from system errors or data inaccuracies.
- Our total liability to you for any claims arising from the use of the Platform shall not exceed the amount you paid (if any) for the Platform in the twelve (12) months preceding the claim.
10. Termination
- We reserve the right to suspend or terminate your access to the Platform at any time, with or without notice, for violation of these terms or for any other reason.
- Group Administrators may delete their group accounts through the Platform's settings.
- Upon termination, your right to use the Platform ceases immediately. We recommend downloading a backup of your data before terminating your account.
- We may retain certain data as required by law or for legitimate business purposes after account termination.
11. Changes to Terms
We reserve the right to modify these Terms and Conditions at any time. Changes will be effective immediately upon posting to the Platform. Your continued use of the Platform after changes are posted constitutes your acceptance of the revised terms.
