Group Finance Management Platform ("the Platform"), operated by Rapid Solutions LTD ("we", "us", "our"), is committed to protecting the privacy of our users. This Privacy Policy explains how we collect, use, store, and protect your personal information when you use our Platform.
By using the Platform, you consent to the data practices described in this policy. If you do not agree with this policy, please do not use the Platform.
We collect the following types of information to provide and improve our services:
a) Information you provide directly:
- Account Information: Group name, administrator name, email address, phone number, and password during registration.
- Member Data: First name, last name, email, phone number, ID number, date of birth, gender, address, country, and county as entered by Group Administrators.
- Financial Records: Contributions, loan details, repayment records, expenses, and other financial data entered into the Platform.
- Documents: Profile photos, ID copies, and other files uploaded to the Platform.
- Communication Data: SMS messages sent through the Platform, contact form submissions.
b) Information collected automatically:
- Activity Logs: Login/logout times, actions performed within the Platform, IP addresses, and browser user-agent information for security and audit purposes.
- Session Data: Session identifiers used to maintain your logged-in state.
3. How We Use Your Information
We use the information we collect for the following purposes:
- Service Delivery: To provide, operate, and maintain the Platform's features including member management, financial tracking, attendance records, and reporting.
- Authentication: To verify your identity and manage access to your group's data.
- Communication: To send SMS notifications (loan alerts, payment confirmations, group announcements) when enabled by the Group Administrator.
- Security: To monitor for suspicious activity, prevent unauthorized access, and maintain audit trails.
- Improvement: To understand how users interact with the Platform and improve our services.
- Legal Compliance: To comply with applicable laws, regulations, and legal processes.
Note: We do not use your personal information for marketing purposes or sell it to advertisers. Your financial data is used solely for the record-keeping functions of the Platform.
4. Data Storage & Security
We take the security of your data seriously and implement the following measures:
- Encryption: Passwords are hashed using industry-standard algorithms. Sensitive data is transmitted over secure connections.
- Access Control: Group data is isolated and accessible only to authorized members and administrators of that specific group.
- Audit Logging: All significant actions are logged for security and accountability purposes.
- Server Security: Our servers are protected with firewalls, regular updates, and security monitoring.
Important: While we implement reasonable security measures, no method of electronic storage or transmission is 100% secure. We cannot guarantee absolute security of your data. Group Administrators are strongly encouraged to regularly download backups using the built-in backup feature.
5. Data Sharing & Third Parties
We do not sell, trade, or rent your personal information to third parties. We may share your data only in the following limited circumstances:
- SMS Service Provider: When SMS notifications are enabled, recipient phone numbers and message content are shared with our SMS gateway provider solely for the purpose of delivering messages.
- Legal Requirements: We may disclose your information if required by law, court order, or governmental authority, or if we believe disclosure is necessary to protect our rights, your safety, or the safety of others.
- Group Members: Within a group, certain member data (names, contributions, loan records) is visible to the Group Administrator and, depending on settings, to other group members as part of normal Platform operations.
We do not share your data with analytics services, advertising networks, or data brokers.
6. Cookies & Sessions
The Platform uses the following technologies:
- Session Cookies: Essential cookies that maintain your login state while you use the Platform. These are automatically deleted when you log out or close your browser.
- CSRF Tokens: Security tokens stored in your session to prevent cross-site request forgery attacks.
We do not use tracking cookies, third-party analytics cookies, or advertising cookies. The cookies we use are strictly necessary for the Platform to function.
7. Your Rights
You have the following rights regarding your personal data:
- Access: You can view your personal information through your account profile at any time.
- Correction: You can request correction of inaccurate personal data by contacting your Group Administrator or our support team.
- Deletion: You can request deletion of your account and associated data. Group Administrators can delete member records through the Platform. Note that some data may be retained for legal or audit purposes.
- Data Export: Group Administrators can export group data using the backup feature (Admin → Backup & Logs).
- Withdraw Consent: You can stop using the Platform at any time. Contact your Group Administrator to have your member account removed.
8. Data Retention
We retain your data for as long as your account is active or as needed to provide our services:
- Active Accounts: Data is retained for the duration of the account's active status.
- Deleted Members: Soft-deleted member records may be retained for a period to allow recovery, after which they can be permanently deleted by the Group Administrator.
- Activity Logs: Audit logs are retained based on the Group Administrator's settings and can be purged through the Backup & Logs page (minimum 7-day retention).
- Backups: Database backups downloaded by Group Administrators are stored on their own devices and are outside our control.
9. Children's Privacy
The Platform is not intended for use by individuals under the age of 18. We do not knowingly collect personal information from children. If we become aware that we have collected data from a child under 18, we will take steps to delete that information promptly.
10. Changes to This Policy
We may update this Privacy Policy from time to time to reflect changes in our practices or for legal, operational, or regulatory reasons. Any changes will be posted on this page with an updated effective date.
We encourage you to review this policy periodically. Your continued use of the Platform after changes are posted constitutes your acceptance of the updated policy.
